Executive Assistant to the CFO

In this role, you will work closely with the CFO, the CFO management team, and the CEO’s EA. The CFO area includes Finance, Investor Relations, IT & Procurement and spans several countries with a team of 300+ employees. You will report directly to the CEO’s EA and be centrally placed in the organization in the headquarters in the Copenhagen area. 

 

As EA, you will primarily support the CFO by performing a variety of executive administrative tasks, but besides supporting the CFO you will to a limited degree also provide support to other executives in the organization. You will be the first point of contact on various inquiries to the CFO and you can grasp the big picture and yet track operational details. You fill the gaps and can quickly re-prioritize tasks as needed. Your key success criteria are to enable the CFO to focus on high priorities.


Work will be required on evenings and weekends periodically. Being available to respond to requests after-hours is a requirement for this position.


Tasks and responsibilities:

  • Manage administration and operations for the CFO, i.e., providing holistic and integrated day-to-day support. Proactively solve problems with little supervision or direction; handling the non-essential tasks and distractions that may keep the CFO from focusing on high priorities.
  • Handle a complex CFO calendar of appointments. Proactively review and prepare short-term and long-term. Ensure that the CFO is well prepared with all materials, pre-read, and information timely ahead of meetings. 
  • Coordinate travels from A to Z. Ensure that the CFO is well prepared with all materials ahead of travel, meetings, and events. Be available as an emergency lifeline to support and handle travel.
  • Proactive inbox management. Research incoming issues that need more background, identify those that require urgent action, and those that you or others can complete in the team.
  • Plan and implement business rhythm activities, including the annual wheel activities. Manage internal administrative procedures using corporate internal systems and tools with consistency creating administrative stability.
  • Help build company culture throughout the team in a way that is engaging, sustainable, and meaningful. Help initiate and execute internal departmental communications opportunities in various formats e.g., celebrating business milestones and employee performance recognition.
  • Handle ad hoc administration, including completing expense reports, and purchase orders and review/cost code/approve invoices through SAP.
  • Plan and organize social events for the CFO area Senior Management team as well as overall NKT Headquarters events.

 

About you:
You are a positive and flexible team player with a high level of integrity. A resourceful and efficient person with a sense of urgency and attention to detail. You have a demonstrated ability to handle highly sensitive and confidential information with discretion. You possess strong communication skills and you can work with multiple stakeholders across the organization. 

 

We expect that the ideal candidate has:

  • Minimum 5 years of experience as an EA in a large international organization. Ideally, experience from a listed company or a company with high compliance standards.
  • Strong presence and a confident and accommodating personality.
  • Structured with high drive and ability to prioritize tasks and work independently.
  • Relevant education i.e. bachelor’s degree or similar.
  • Fluency in English and Danish, spoken and written. 
  • Excellent writing, editing, and grammatical skills.
  • High proficiency in applying IT tools in daily tasks and operations. 
  • Advanced computer skills proficiency in MS Excel, Outlook, PowerPoint, and Word.
  • Previous work experience in communication or finance is a plus.
